HR ASSISTANT

Basic Statement of Functions
Summary:
Supports Human Resources related programs and initiatives and provides support to Human Resources (HR), Corporate and Operations staff.

ESSENTIAL DUTIES AND
Responsibilities:
Serve as first point of contact for Human Resources department.
Primary responsibility for HR Group email and voice mail.
Answer, respond and direct communications to the appropriate individual or department.
Performs all functions for efficiency and service to the customer.
Support department programs such as:
Leaves of Absence (LOA), Family Medical Leave Act (FMLA), Workers Compensation, field compliance audits (Stings), benefits, background checks, etc.
Assist Personnel Managers.
Monitor recruiting activity; keep Locations/Hiring Managers/DMs Organization Chart current; troubleshoot problems for employees/applicants.
Assist with background check inquiries, including follow-ups, early hire eligibility, and minor (age) approvals.
Support HR and Operations departments' training activities; assist with establishing schedules, providing logistical support, issuing invitations, printing and assembling training materials, and closing activities.
Responsible for assisting with background checks (MT and out-of-state) for new employees.
Assemble employee Handbooks and distribute to field operations.
Support Safety Manager with Work Comp reporting, monthly safety meeting notes, distribution and receipt of Injury envelopes.
Monitor purge/ archive file process and arrange for Warehouse storage of files.
Maintain and provide employee recognition (Anniversary) and support (Bereavement) gifts and offerings.
Order HR department general supplies, training materials, etc.
Process voluntary terminations, prepare and mail required communications.
Coordinate office Holiday decor and activities.
NON-ESSENTIAL DUTIES:
Schedule and coordinate projects and track deadlines Assist with research projects.
Coordinate travel arrangements, webinars, and conference calls.
Arrange staff meetings and other events, including agendas and minutes.

Distribute updated information for personnel-related reports.
Job Specifications (Qualifications)EDUCATION and/or
Experience:
One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
COMPUTER SKILLS:
Requires experience in Microsoft Office (Word, Excel, Outlook, PowerPoint).
LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence.
Ability to speak effectively before groups of customers or employees of organization.
MATHEMATICAL SKILLS:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
REQUIRED CERTIFICATES, LICENSES, REGISTRATIONS:
Valid Drivers License with acceptable driving record OTHER (Knowledge Skills or Abilities):
Ability to maintain confidentiality.
Knowledge of Microsoft office suite Knowledge of principles and practices of personnel administration.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
